DATA PROTECTION & PRIVACY POLICY
Thank you for trusting Infinity Dance with personal information about you and/or your child(ren). We would like to assure you that we take that trust seriously and we want you to know exactly how we use your information and why keep it.
Who is holding your information & what for?
The information you have given to us is held in an off the shelf CRM system (Thinksmart Software) that guarantees all data is 100% safe and secure. The principal, vice principal and all administration staff have access to this data for day to day operations (such as names, emergency phone numbers and medical issues), this information is also accessible to the class teachers should they need it. We do not permit any copying or sharing of data by any of our staff and strictly monitor this to avoid any potential breaches.
The data will be used for child safeguarding, as well as for essential communication and marketing purposes, all solely by Infinity Dance. Safeguarding and communication emails are mandatory, but any marketing communication you do not wish to receive by email, you can opt out of by clicking on unsubscribe, or alternatively let us know by post or by email that you no longer wish to be communicated for marketing purposes.
Where do we get data from?
We only hold data provided to us by you. Initial information is collected on the registration form that is filled out at enrolment. We may also collect data that is emailed to us by you. Once collected all data is transferred onto our main CRM system, and all paper copies are filed and securely stored with restricted access. We only keep data that is necessary, both to run the dance school in an efficient manner and to maintain the highest level of child protection and safeguarding.
Where is your data stored?
In common with most small businesses, we do not have any tailor-made software – we use mainstream packages for record keeping, emailing and accounting etc. We have picked mainstream suppliers with appropriate security standards. These include Thinksmart Software and Google.
Do we share your data?
We never sell data we hold.
Your information/advice is held in the strictest confidence. Our staff are aware that confidentiality is paramount, and any sharing of data is a breach of data regulations.
To take part in exams, dance festivals or performances we will usually be asked to send personal data to the organising body, or local council for permission, and we will ask for your consent to share this data when entering your child. We also reserve the right to share information if we suspect a safeguarding issue (child protection policy).
How long do we retain your data?
We will keep and update records for as long as your child dances at Infinity Dance or your account is open. Once they leave, it is up to you. We can either delete all your data (if you specifically request that we do this under the right to be forgotten) or you will be made inactive within our system, pending your potential return to Infinity.
Want to see what data we hold on you?
Under the new regulations you have the right to know what information we hold on you, as well as the right to request your data be deleted and forgotten. Simply send an email to info@infinitydance.co.uk requesting your data and we will download what we have and/or send screenshots over to you. If you believe we have information we should not have, or your data is out of date or otherwise incorrect, please let us know and we will take appropriate action to delete or update the data. Alternatively, you now have the ability to register on our online portal to maintain both yours and your child(ren’s) data yourself (if you would prefer to work this way, Infinity reception can send you a link to this online portal).
